How to export data from Notion and check what you actually saved.
Choose the right export format, find the workspace export, and avoid mistaking a download for a complete migration.
Decide what the export is for
A readable archive, a spreadsheet analysis, and a move to another tool are different goals. Before downloading anything, write down which pages and databases you need, which attachments matter, and who should be able to access the result.
Keep the original workspace available while checking the files. Give the export a clear date and scope so a future reader knows what it represents.
Export a page or database
Open the page’s ••• menu and select Export. Choose PDF for a readable document, HTML for web-page files, or Markdown & CSV for text and database data. Include subpages when needed; availability can depend on format and plan. Download the resulting file or ZIP.

Export the workspace
On desktop or web, open Settings, then Workspace → General, and choose Export all workspace content. Notion may deliver a download link when the export is ready. Large exports can take up to 30 hours; emailed links expire after seven days.
The export excludes pages the exporting user cannot access and may be affected by teamspace settings. Workspace or teamspace owners can restrict exporting. Guests need full access to export a page.

Inspect the result before relying on it
Open the archive and compare it with your scope list. Select a small set of representative items instead of assuming a large ZIP must be complete. Include a deeply nested page, a database with useful properties, a page with images, and a page containing attachments.
Ask a second person to find a known answer using only the export. Broken navigation is often easier to notice when the reader does not already know where everything lives.
- Are the expected pages and database rows present?
- Can you open important attachments and images?
- Do links lead somewhere useful outside the original workspace?
- Are the exported dates, property values, and titles understandable?
- Is the destination restricted to the intended audience?
An export is not a complete restore plan
Notion says a workspace cannot be instantly recreated by re-uploading an export. It also notes that database exports support the current or default view, not all views at once.

Plan the next step separately
If you are moving systems, test a small import into the destination before changing your source of truth. Check formatting, ownership, permissions, and links after that import; a successful download does not prove a successful migration.
If your aim is to preserve company knowledge, also ask what is missing from the documents. A clean archive will not explain an undocumented decision or a specialist’s workaround. Capture those explanations while the people who know them are available.
