Start with the job, not the shortlist
An alternatives search can make unlike products look interchangeable. Before comparing vendors, write down the problem in plain language. Is your team unable to find existing information? Is the information out of date? Or does it live in someone’s head and need to be captured first?

Notion’s wikis support page owners and verification. That gives teams a way to organise authored knowledge and make maintenance responsibilities visible.
Consider this route if the priority is building a writing habit around a shared handbook. Ask who will create the content, how they will know it needs an update, and whether the team will return to it during daily work. A well-designed workspace still needs someone to supply the experience it should contain.

Use the same test for every vendor
Choose five real questions and gather the evidence a correct answer would need. Include a straightforward lookup, a question spanning two sources, outdated guidance, restricted information, and something currently known only by an employee.
Let the intended users judge the results. Record how long it takes to find a usable answer, whether the source is clear, and what still requires manual effort. Ask for full commercial terms including implementation, seats, usage, support, and renewal. Avoid deciding on an impressive demonstration alone.

- What happens when two sources disagree?
- Can someone without permission retrieve restricted information?
- Who keeps content current after the initial setup?
- How will knowledge that has never been written down enter the system?
