A buyer’s guide to choosing between a team wiki, verified knowledge, and guided employee interviews.
There is no single best tool for every handover
Knowledge transfer includes several different jobs: collecting experience, organising the result, checking it, and helping someone use it. A team can buy a good tool for one job and still leave the others undone.
Start with a specific handover. What would a capable colleague need to know to run the work next week? Which answers already exist, and which require a conversation with the current owner? That inventory is more useful than a feature count.
For a maintained team handbook: evaluate a wiki
Notion documents wikis, page ownership, and verification. These are relevant capabilities when you want a place for people to write, organise, and maintain guidance.
Test whether a successor can find an answer without knowing the document title. Give someone responsibility for the handbook and a practical review routine. A publishing tool only helps if the missing explanation is actually written.

For knowledge with explicit review responsibility: evaluate Guru
Guru documents verification workflows with assigned people or groups and Knowledge Agent quality checks. That makes review responsibility a useful part of a Guru evaluation.
Use a procedure that changes often. Ask the proposed owner to update it, check its status, and show the employee-facing result. Watch for the effort required to keep the workflow going after the launch enthusiasm passes.

For experience that has not been written down: evaluate Sirca
Knowledge Interviews gives employees a guided way to explain recurring work, decisions, exceptions, dependencies, and successor advice. Employees review their own words, and an administrator can approve publication or request clarification.
It is relevant when asking someone to write a handover document has not produced enough useful detail. Approved answers join Sirca’s company knowledge for authorised retrieval. It does not replace hands-on practice, an equipment demonstration, or the successor doing the work with supervision.

Test a handover, not a hypothetical feature list
Run one bounded trial with a willing employee and a colleague who is less familiar with the work. Capture the knowledge, have the successor attempt a realistic task, and note every place they still need to ask for help.
The result is both an evaluation and a better handover. Repeat until you understand whether the main gap is capture, organisation, review, or training. You may need complementary tools rather than a wholesale replacement.
- Capture the normal workflow and at least one exception.
- Include essential contacts and where supporting files live.
- Check the explanation with the person responsible for the process.
- Ask the successor to explain the work back in their own words.
- Confirm access and withdrawal behaviour before adding sensitive content.
